Reports and board packs

Reports turn the latest information in Swell into a point-in-time view for management or the board.

Choose the report pages and add management commentary before previewing the result. Previewing does not create a permanent report, so you can check the information and correct the underlying records first.

Once a report pack is created, the snapshot is preserved so the information presented at that time remains auditable. If something later needs correcting, create a new snapshot rather than changing the original.

Configure a board report pack

Configure the report around the audience and decision it needs to support. Select only the pages that are relevant and use the management statement to explain important developments or limitations.

The report draws from information already recorded in Swell. Correct inaccurate source records rather than trying to explain away an avoidable error in the report.

How to configure a board report pack

  1. Open Reports.
  2. Select the required pages: Executive Overview, AI Portfolio & Governance, Strategy & Roadmap, and/or Governance Actions & Change.
  3. Add an optional management statement of up to 800 characters.
  4. Select Preview.

Preview and read calculation disclosures

Preview lets you check the report using the latest information in Swell before creating the permanent snapshot.

Read every selected page, review the reporting date and open the calculation explanation when a number is unclear. Return to the source record when something needs correction.

How to preview and read calculation disclosures

  1. Review every selected page in the preview.
  2. Check titles, reporting date, charts, management statement and empty states.
  3. Open How Swell calculated this page on each page.
  4. Return to configuration if the page selection or statement needs changing.

Common situations

  • If no material changes occurred during the period, state that briefly in the management statement rather than inventing activity.

Create the report snapshot

Create the snapshot only after the preview is ready to share. The snapshot preserves the selected pages and management statement as a point-in-time governance record.

It cannot be edited after creation. This protects the integrity of what was reported; any later correction should be made in the source information and captured in a new snapshot.

Before you start

  • You need report-generation permission.

How to create the report snapshot

  1. Complete the preview checks.
  2. Read the notice that the report pack cannot be changed once created.
  3. Select Create report pack.
  4. Wait while Swell creates the report files.
  5. When the status is Ready to download, use the download action.

Open report history and download a snapshot

Report history lets you retrieve an earlier snapshot without changing what it contained.

Use the reporting date and creator to identify the right pack. Report packs are downloaded as a ZIP file containing a PNG image for each selected report page.

How to open report history and download a snapshot

  1. Open Reports → Report history.
  2. Select the Reporting Snapshot by number, date and creator.
  3. Review its pages and reporting metadata.
  4. Select Download report pack when the asset status is ready.

Correct a report by creating a new snapshot

A completed snapshot should continue to show what was reported at that time, even when an error is found later.

Correct the underlying record, preview the updated report and create a new snapshot. Use the management statement to explain the correction when the audience needs that context.

How to correct a report by creating a new snapshot

  1. Correct the underlying AI use, Risk, Strategy, action or management statement as appropriate.
  2. Return to Reports and configure the pack again.
  3. Preview the corrected report.
  4. Create a new Reporting Snapshot.
  5. Use the new snapshot number when distributing the corrected pack.

Common situations

  • Do not attempt to edit or replace files inside an existing snapshot.
